Cancellation Policy

Due to the demand in our schedule 24 hours notice is required to cancel or reschedule your appointment. 

Appointments that are cancelled with less than the specified notice will be subject to a cancellation fee of 50% of the scheduled appointment cost. Missed appointments (no shows) will be subject to a cancellation fee of 100% of the scheduled appointment cost.

We understand not everything is within our control and the unexpected can happen, please call with as much notice as possible to cancel or reschedule your appointment. This policy applies to any reason for cancellation and to all forms of booking.

Repeat Cancellations or failure to show for appointments could result in patient dismissal.

Winter Weather Policy

Seasonal Addendum - During the winter months, weather conditions in Grey Bruce can change quickly. This seasonal policy is intended to support safe travel while maintaining fairness and clarity around cancellations.
 

1. Weather-Related Cancellations by the Clinic

If road or weather conditions prevent your RMT from safely reaching the clinic, we may need to cancel or reschedule your appointment.
If this happens, you will be notified by:

  • Email

  • Jane Communications

  • Phone call (when possible)

Please check your email before leaving for your appointment, regardless of the time of day.

There is no fee applied when the clinic initiates a weather-related cancellation.

2. Patient-Initiated Weather Cancellations

If you are uncomfortable driving due to winter conditions, we encourage you to prioritize your safety.

  • Please provide as much notice as possible so we can offer the appointment to someone else or adjust our RMTs' schedules.

  • No cancellation fees will be charged for weather-related concerns when we receive communication before your appointment time.

3. Missed Appointments Without Contact

If a patient does not contact us and simply misses their appointment:

  • The 100% cancellation fee still applies, even in winter weather.

  • We always consider extenuating circumstances, but communication is required in all cases.

4. Same-Day Weather Changes

Because storms can develop quickly:

  • Weather-related adjustments may happen with short notice.

  • Patients should check email before leaving the house for all appointments—morning or afternoon.

5. Communication Expectations

Our winter policy only works when communication is mutual.

We ask all patients to:

  • Stay subscribed to email and text reminders

  • Notify us as early as possible if travel feels unsafe

  • Check notifications the morning of (or shortly before) their appointment

This helps us support everyone’s safety, reduce missed appointments, and maintain efficient scheduling for our clinicians.
